About the Organisation

The Blue Derby Foundation is a registered, community-based charity dedicated to ensuring the long-term sustainability of Derby as Australia’s pre-eminent mountain biking (MTB) destination.

The Foundation is governed by a volunteer Board elected by members of the local community, including property and business owners, employees, and residents with a connection to Derby and its surrounding areas.

As the custodian of the Blue Derby brand, the Foundation champions local industry through research, advocacy, policy development, and marketing. 

It also preserves the region’s rich history and unique natural environment, while raising funds to maintain and promote the trail network that has made Derby a nationally significant MTB precinct.

Position Purpose

The Company Secretary plays a vital role in supporting the volunteer Board and ensuring the smooth and professional operation of the Blue Derby Foundation. The position suits a proactive and highly organised individual who can manage competing priorities with calm confidence and autonomy.

Working closely with the Chair, Board members, consultants, and key stakeholders, the Company Secretary will coordinate governance processes, facilitate communication, and deliver critical administrative functions.

Key Responsibilities

  • Maintain accurate records, meeting documentation, and data systems
  • Prepare agendas, take minutes, and coordinate follow-up actions for Board and committee meetings
  • Manage membership databases and organisational correspondence
  • Support the implementation of policies and reporting obligations
  • Assist with stakeholder engagement, including community communications and external partnerships
  • Undertake legal, accounting and insurance records. 
  • Use relevant software platforms including TidyHQ (or similar), Zoom, and SurveyMonkey to support organisational operations

Essential Experience 

  • Demonstrated time management and organisational skills
  • Familiarity with ASIC, ACNC, or similar regulatory requirements for incorporated entities
  • General business administration.
  • Very high level of attention to detail.

  • Excellent written and verbal communication skills, particularly for governance documents

Work Conditions

  • Casual employment arrangement
  • Remote or home-based work with occasional in-person attendance as required
  • Flexible scheduling in consultation with the Chair
